International Students - Checklist for New Students in Fall 2024

*This checklist is for International students (excluding students from mainland China, Hong Kong, Macau, and Taiwan) only.

Welcome to GT-Shenzhen — we are glad you have decided to join our graduate student community and wish you much success.

To ensure a smooth transition to Georgia Tech's graduate student community, we recommend you complete the below checklist items by their completion dates.

Notes:

  1. To apply for the Chinese X1 Visa, you will need to complete the Preliminary Screening for Admission Letter and the JW 202/DQ Form. These documents are crucial for supporting your visa application. While waiting for GT-Shenzhen to issue the required documentation, you can start preparing your visa application.
  2. We recommend applying for a Chinese student visa within 3 months before the study abroad semester. Once you receive your Admission Letter and JW 202/DQ Form, you can schedule an appointment to submit your documents in person and proceed with the visa application process. Please refer to the requirements of the embassy or consulate in your local area.

To enter and study in China legally, you need to complete the following checklist items.

Student Information Collection. For visa application, administrative, statistical and emergency contact purposes, please complete the following form as soon as possible after confirming your exchange. Your personal data will be accessed only by our employees or contractors who are authorized to do so.

As Soon as Possible

(Early-May)

Prepare for Preliminary Screening for Admission Letter and JW 202/DQ Form. You need to prepare a non-criminal record from the local police department, and sign a Commitment Letter of Physical Examination for GT-Shenzhen to start issuing Admission Letter and JW 202/DQ Form.

You will receive a notification via email, and GT-Shenzhen staff will assist you with the process.

As Soon as Possible

Prepare your online visa application. You can visit the Chinese Embassies in your country by clicking this link: http://www.fmprc.gov.cn/eng/wjb_663304/zwjg_665342/2490_665344/ 

Once complete your online visa application and get admission letter and JW202/DQ form

Hand-in your documentation. You may schedule the earliest time slot to hand-in all files required. And wait for your visa. Please refer to the requirements of the embassy or consulate in your local area.

Insurance

As Soon as Available

Submit your travel itinerary for insurance purposes. We will purchase your CISI travel insurance policy accordingly.

As Soon as Possible

Complete the International Travel Registry - IAP. For students who exchange from GT-Atlanta or GT-Europe, please complete the International Travel Registry - IAP.

Within 24hr of your arrival in Shenzhen

Complete the Temporary Residence Registration.

International students shall, within 24 hours after their arrival in Shenzhen, go through the registration formalities with the public security organs in the places of residence.

You will receive a notification via email, and GT-Shenzhen staff will assist you with the process.

The first week of the semester

Complete the Physical Examination for X1 Visa and take a passport photo. A physical examination is mandatory for all international students who enter China holding an X1 visa and plan to stay longer than six months. When you apply for a residence permit in China, you will need to submit the appropriate documents confirming you have passed the physical examination.

You will receive a notification via email, and GT-Shenzhen staff will assist you with the process.

The second week of the semester

Apply for Residence Permit if you are a X1 Visa holder(Passport photo is required). If the student visa indicates there is a requirement to apply for a residence permit after entry, the student shall apply within 30 days from the date of entry to obtain a foreigner’s residence permit from the Shenzhen Exit and Entry Bureau.

You will receive a notification via email, and GT-Shenzhen staff will assist you with the process.

 

In addition to the entry-related procedures, in order to enroll in GT-Shenzhen, you will need to complete each of the following checklist items by its completion date.

Submit official documents. Although you may have applied with unofficial academic documents, we strongly recommend that you submit your final transcripts and degree certifications prior to the start of the semester. If you are unable to provide them prior to the start of your first semester, you will be allowed to enroll, but a registration hold will be placed on your student account preventing future semester registration. This hold will not be removed until we receive your outstanding documents. Students with non-English credentials must submit official academic documents in both the native language and English. You have two options for submitting official documents.

Option 1: Electronic copy (preferred method)

Anything sent or forwarded from the students is considered unofficial.

Option 2: Hard copy (only if transcripts cannot be sent electronically)

  • Mail: paper official transcripts can be sent directly by the institutions you have attended via mail delivery service or sent by you in the original, unopened, school-sealed envelope. Your full name must appear on the envelope along with your nine-digit Application Reference Number. For Chinese students, we recommend you to take courier services like UPS and DHL, as they allow you to track your package in both China and the US.   • In-person drop-off: you may physically bring your documents into our office for submission. The items must be in the original, unopened, school-sealed envelope they were issued in. We are located in the Savant Building.

** We are unable to return any original or official academic documents to a student or applicant.

*** If your school does not provide English translations of your documents, they must be translated by a professional translation service. There are many licensed translation companies available online.

Activate your Georgia Tech account. Visit passport.gatech.edu to start the process.

2 Weeks Prior to Arrival on Campus

Access your Georgia Tech email. Do not attempt access more than a month prior to arriving on campus. If it is two weeks prior to your arrival and you are still experiencing access issues, please request help via OIT (Office of Information Technology) at http://oit.gatech.edu/.

Complete two-factor authentication enrollment. Georgia Tech requires all students to enroll in Two-Factor Authentication to enhance the security of student accounts and online access to sensitive information. You can self-enroll through passport.gatech.edu. More information: oit.gatech.edu/two-factor-authentication.

Before Arriving to GTSI

Read over graduate handbook of your program. This is the document that will inform you of the policies and resources you need to know as a new graduate student at GT-Shenzhen.

When Possible

Review graduate sections of the catalog. This contains useful information about Georgia Tech, degree programs, and graduate policies and procedures. For more information, visit http://www.catalog.gatech.edu/.

As Soon as You Receive the Email (Early-July)

Submit your housing application. You will receive an email requesting your housing application, please reply in a timely manner.

Late- July
Pay dorm rent. You will be notified by email.

Early-July

Attend the virtual Townhall. You will be invited to attend an online welcome session that includes information on check-in process, roommate matching, and tips for studying and living in Shenzhen, etc.

Early-August

Get connected. You will be invited to the official GTSI graduate student WeChat group.

Early-August

Complete the form of arrival information collection. You will receive an email requesting your trip to Shenzhen, China, please reply in a timely manner. Please note that you may want to plan your trip to China in advance.

The Two Working Days within the Week before August 19th

Complete student check-in process. You will physically go to campus and complete the check-in process per the instruction we will email to you. Please note that the first day of classes is August 19.

The First Week of Fall Semester

Attend orientation sessions. Upon arriving to campus, you are required to attend the GTSI General Orientation. Also, your program may also hold an orientation that you are required to attend.

August 12 to August 23, 4 p.m. (Atlanta Time)

Register for classes. New graduate students will be able to register for classes during the Phase II registration window. You will have an assigned registration "time ticket" indicating the specific date & time your access to the registration system will begin. You will be able to continue to register and make schedule changes through 4 p.m. (Atlanta Time) on the Friday of the first week of the semester (when registration closes for all students). To access online registration, go to the BuzzPort (http://buzzport.gatech.edu/) student tab. This tab will appear before the start of the semester for new students.

At GT-Shenzhen, each student shall register for no more than 13 credit hours per semester.

If there is a “hold” on your account, you may not register until you submit the missing information or complete the related questionnaire.

August 26, 4 p.m. (Atlanta Time)

Check OSCAR balance daily. GT-Shenzhen students pay tuition and dorm rent to Office of Finance and Assets Management of GTSI via GTSI Pay, instead of Office of the Bursar of GT-Atlanta via OSCAR. During the first week of fall semester, please check your OSCAR balance daily for errors. If there are ANY tuition or fees (outside of your insurance fee) on your account, please contact your program coordinator immediately for a correction. This error will cause the cancellation of your classes if not corrected before the end of the registration period.

August 23, 4 p.m(Atlanta Time)

Last day for schedule changes. Make your final course selection by 4 pm, August 23, Atlanta Time. This is the last day to register, make schedule changes, and/or drop courses without a "W" grade for the semester.

Aug. 28, 4 p.m. (Atlanta Time)

Pay insurance fee. Your OSCAR account may show an insurance fee that must be paid by 4:00 pm, Atlanta Time. Double check your account balance is zero by the Fall 2024 Payment Deadline. For further information, please see the Bursar's Payment Instructions.

August 23

Complete payments. Tuition payment needs to be done before August 23. Please note that failure to pay will result in the cancelation of classes and will not be reinstated.
